How a case is handled
From the email instruction to the final disposal.
What follows is the path a case takes through Prospect. Each step is managed in-house to a consistent standard, and recorded as it happens. The reports that solicitors and deputies receive are produced by the same operation that runs the work.
The instruction
An email arrives. The case is built.
The instruction is read on arrival. A case record is created, every job that the instruction requires is generated, and the work is allocated to the right inspector by location. Admin reviews the allocation before anyone is dispatched.

Free of duty clause (section 3) applies to all legacies and bequests. The survivorship clause requires beneficiaries to survive by 28 days. Residuary charities matched to the Charity Commission register.
Will and title, parsed in parallel
The documents the instruction came with.
When the instruction arrives with a will or a title deed, both are ingested in parallel with the case build. Bequests are mapped and charitable beneficiaries identified from the will. The property dossier is enriched with HM Land Registry, lease, EPC and local market data from the title.

Carried out in-house. Every case.
Every initial inspection is attended by a Prospect inspector, fully trained and DBS-checked, working from our custom secure app on their own device. We do not contract this step out. The standard does not vary by region.


What the submission produces
One submission. Six outputs.
The inspection submission is the moment the case picks up speed. Six pieces of work are produced from a single form completion, in the minutes after admin has cleared the report.

Admin clearance, then the cascade
Statement of Fact
Auto-generated from the inspection data. Property type, construction, condition flags and declarations, ready for the insurer.
Redacted brief
A redacted version of the report is generated and sent with estate-agent valuation invitations alongside the property dossier.
Quote requests
Quote jobs for clearance, garden works and contractor work are created and queued into their kanbans.
Vehicle records
Any vehicles logged during the inspection appear in Vehicle Management, ready for admin to move or store.
PDF to the solicitor
The inspection report is rendered as a PDF, checked by admin, and sent to the instructing fee-earner.
Invoice raised
The invoice for the inspection is raised in parallel and follows the PDF, in the minutes after admin clearance.
Vehicle management
Every vehicle on the case, tracked alongside the property.
Vehicles logged at the initial inspection move straight into Vehicle Management. Registration, make, model, mileage, VIN, condition and inspection photographs are all on the record, through valuation, recovery, storage and disposal. Proceeds flow back to the estate or the protected person.

Seven local agents have provided appraisals through the Prospect process. The summary across all responses is shown below.
The auction reserves shown below represent guaranteed sale floors, not market valuations. The five private treaty ranges sit materially higher, with the top end reaching £374,000. Private treaty is therefore the route most likely to realise the property's open-market value.

Three valuations from our panel of high-street agents, with Land Registry comparables alongside.
Estate-agent valuations are commissioned from agents on the Prospect panel covering the case’s postcode. Each return is shown next to HM Land Registry historical comparables for the same street. HMRC sees agent opinion corroborated by recorded transactions. Where the instruction requires a RICS valuation, that runs through a separate route.

Valuations pipeline
A live pipeline behind every valuation.
Estate-agent invitations carry the redacted brief and the property dossier. If three responses have not come back from the first send, the radius widens and a second wave is dispatched. The fee-earner sees how many invites went out, how many came back, and what is still in play.

A plasterer sees only the plasterwork.
Quote-request briefs are produced per workstream and scoped to the trade. A clearance firm sees man-day estimates, tipper loads and hoarding severity. A plasterer sees only the photographs tagged for plasterwork. No client name. No identifying detail. The brief is redacted by default.

Garden clearance, house clearance and contractor works each run as a live kanban. Each card carries the property address, the instructing firm, the quote count, the running cost and the dates. A senior partner with twenty active cases can audit progress in under a minute.

We pay. You defer.
Prospect covers the contractor costs. You settle when funds are released.
When quotes are in, the bundled quote report goes to the instructing fee-earner with the running totals. The fee-earner picks. Prospect instructs the contractor, manages the work through to completion, and pays the contractor directly. Our invoice to the firm is deferred until funds are released.
Insolvent estate protection
If an estate proves insolvent, Prospect writes off the invoice. No cost to the firm. No cost to the charity or the beneficiaries. No other property management company offers this.

Every Prospect report is a properly typeset document. Branded covers, headers and footers, page numbers, table of contents where one is warranted. Photographs sized and placed for the page they sit on. Tables for chattels, comparables, bequests and charities. The same visual standard runs across the inspection report, the appraisal, the chattels valuation, the IHT evidence pack, the OPG submission and the case completion summary.

Chattels report
The chattels report, reconciled to the will.
When a chattels valuation is instructed, valuables are retrieved to a secure Prospect facility and the asset valuation workstream begins. Every item is photographed, categorised and valued in-house: gold, silver, jewellery, antique furniture, paintings, sculptures and the rest. The report reconciles every item to the bequests in the will.

Bequests, charities and the residuary split, on one page.
The Chattels Valuation Report carries a will summary appendix. Executors, specific bequests with named beneficiaries, charitable beneficiaries with Charity Commission registration numbers, and the residuary estate split into 100 parts. Everything the IHT forms will need.

HMRC schedules, on request
IHT405, 407, 408 and 430. Generated from the case data when you ask.
Solicitors who want to lighten their filing workload can have the IHT schedules generated from the case data. Charity- bequeathed chattels are routed to IHT408 rather than IHT407 automatically. IHT430 is only offered when the will analysis shows the charitable residue crossing the 10% threshold.

Property details, decisions made, best interests justification, value for money evidence, works summary, marketing appraisals, risk assessments and a full audit trail, in the form the Court actually receives.
